Everything you need to know about working with HartFelt Careers — how we work, what it costs, and what to expect.

Working With Us

What industries does HartFelt Careers specialize in?

We focus exclusively on logistics and supply chain — including 3PL, freight brokerage, warehousing, last-mile delivery, cold chain, intermodal, and supply chain operations. This specialization means we already understand the roles, the market, and the talent landscape before we start your search.

What types of roles do you fill?

We place operations and sales talent at the mid-to-senior level — think Directors of Operations, Warehouse/DC Managers, VP of Sales, Supply Chain Managers, Regional Directors, and similar leadership roles. If the position directly impacts your revenue or your operational throughput, it's likely in our wheelhouse.

What size companies do you work with?

Our sweet spot is companies in the 50 to 200 employee range — typically operators, 3PLs, and freight brokerages that are growing fast and need to hire strategically but don't have a full internal recruiting team. We also work with larger organizations on executive-level placements.

Pricing & Engagement

How does your pricing work?

We offer two engagement models. Retained search is our recommended approach — you get exclusive access to our full methodology, client portal, and a 90-day guarantee. Contingent search is available for companies who prefer a pay-on-placement model with a 60-day guarantee. We'll discuss which model fits your situation during the discovery call.

What's the difference between retained and contingent?

Retained clients get our full commitment — AI-powered sourcing, structured behavioral assessments, verified candidate profiles, access to our real-time client portal, and a 90-day guarantee. Contingent engagements include resume screening, phone screens, and email updates with a 60-day guarantee. Retained is a partnership; contingent is a service.

Is there a cost for the discovery call?

No. The discovery call is a free, 15-minute conversation. We use it to understand your hiring situation, answer your questions, and determine whether we're a good fit. No pressure, no pitch — just a real conversation about what you need.

Process & Timeline

How long does it take to fill a role?

It depends on the role and the market, but retained searches typically produce qualified candidates within 2 to 4 weeks. Executive placements can take longer depending on the seniority and specificity of the role. We'll set realistic expectations during the kickoff and keep you updated in real time.

What does your vetting process look like?

Every candidate goes through identity verification, structured behavioral assessments, skills validation, and reference checks before they're presented to you. You'll see a full candidate profile — not just a resume — with our assessment of their fit, strengths, and any areas to probe in interviews.

What is the client portal?

Our proprietary client portal gives retained clients full visibility into every active search. You can review candidate profiles, track pipeline progress, submit interview feedback, and communicate with our team — all in one place. No more email chains or status-update calls. It's available exclusively to retained engagements.

After Placement

What happens after someone is hired?

We don't disappear after the offer letter. We support the onboarding transition, check in at 30, 60, and 90 days, and stay available to help if anything comes up. Our goal is retention, not just placement.

What if the hire doesn't work out?

Retained placements include a 90-day guarantee. If the hire leaves or is terminated within that period, we restart the search at no additional fee. Contingent placements carry a 60-day guarantee under the same terms.
